A parent-teacher conference scheduler builds appointment slots from a start time, an end time and a slot length, then assigns your students to them. This one works across multiple evenings, inserts scheduled breaks, groups siblings into adjacent slots by surname, and exports the result as CSV or an .ics calendar file.

About the Parent-Teacher Conference Scheduler

Conference evenings are a packing problem: a fixed window, a fixed slot length, a break so you can breathe, and a list of families that never quite divides evenly. This tool does the packing. Enter the evenings, the times and the slot length, paste your class list, and it lays out every slot with a name against it.

Two details save the most trouble. Siblings are grouped automatically by surname so one family is not asked to come back an hour later, and anyone who does not fit is listed explicitly rather than quietly dropped — so you can add an evening or shorten the slots before you send anything out.

The schedule downloads as a CSV for the office and as an .ics calendar file with one event per booked slot, which drops straight into Outlook, Google Calendar or Apple Calendar. Your class list stays on your device; nothing is uploaded.

Frequently asked questions

How long should a parent-teacher conference slot be?

Ten minutes is the most common length for a primary or secondary evening, with a two-minute changeover so you are not talking over the next family. Fifteen minutes is usual where each teacher only sees a few families. Set whatever you need and the grid rebuilds instantly.

How does it keep siblings together?

It reads the surname from each name — the last word, or the text before a comma if you write “Bello, Amara” — and reorders the list so students sharing a surname land in consecutive slots. Untick the option if you would rather keep your typed order exactly.

What happens if I have more students than slots?

Nobody is silently dropped. The leftover students are listed under the table with a count, so you can add another evening, shorten the slots or extend the finishing time until the number reaches zero.

Will the .ics file work in Google Calendar and Outlook?

Yes. Each booked slot becomes a standard VEVENT with a floating local time, so it appears at the printed clock time in whichever calendar opens it, with the student's name in the title and your room in the location field.

Is my class list sent anywhere?

No. The schedule, the CSV and the calendar file are all built in your browser, so student names never leave the device you are working on.
